AI can accelerate the review

AI in construction specifications can search faster, compare faster, and organize information faster.


It can scan a hardware schedule.

Compare submittals.

Find a product clause.

Flag missing information.

Summarize a document set.


That is useful.

It is not approval.



The decision still carries risk

Architectural ironmongery is a good example because the decision is never only about a product name.


The selection may affect fire performance, accessibility, security, durability, certification, and compatibility with the complete door assembly.


A confident answer can still be wrong if the product data is old, the standard has changed, or the prompt missed a project-specific condition.


The system can produce language.

It cannot carry professional accountability.



Adoption is moving faster than governance

PBC Today cites the RIBA Artificial Intelligence Report 2025, which found that 59% of architectural practices used AI on at least some projects, compared with 41% in 2024.


That change matters.

It also creates a gap.


Many teams are already using AI before they have defined who checks the answer, what evidence is required, or when the result must be escalated.


The tool is moving into the workflow.

The responsibility framework often arrives later.



Human review is not a ceremonial checkbox

A qualified reviewer must be able to see how the recommendation was formed.


That means the review needs:


  • A clear source for every safety- or compliance-related statement.

  • Current manufacturer literature and certification evidence.

  • The project code basis and jurisdiction.

  • Compatibility checks across the complete assembly or system.

  • A named person with authority to approve or reject the result.

  • A record of what was changed after the AI-assisted review.


If the reviewer receives only a polished answer, the process is not traceable.



A practical policy for project teams

Use AI to search, organize, compare, and prepare.


Do not treat it as the final authority for code, fire, life safety, accessibility, security, or product compliance.


General contractors should define who approves AI-assisted submittal and specification reviews.


Design teams should state which sources are acceptable and how current they must be.


Owners should require traceable evidence where the decision affects safety, performance, or warranty.



Final thought

AI can reduce the time required to reach the technical question.

It cannot remove the need for technical judgement.


The best use of AI is not to make the final decision invisible.

It is to make the evidence easier to find before an accountable person decides.
